Automating Checkout with a Custom Excel Tool
In this dermatology practice, front desk staff were tasked with calculating what patients owed at checkout. But with insurance complexities, deductibles, copays, procedural rates, multiple surgical reduction rules, and cosmetic add-ons, it wasn’t simple math. The result? Errors in more than 75% of transactions, confused patients, and stressed-out staff.
We built an automated Excel tool that does the thinking for them. It incorporates payer-specific logic, handles combinations of medical and cosmetic services, and even accounts for bundled procedure adjustments. Staff played a major role in designing the tool, and because of that, they actually enjoy using it. The results have been clear: faster checkouts, fewer errors, and better communication with patients.

Like many practices, this clinic struggled with online reputation. Most of their happy patients weren’t leaving reviews, while the few who had complaints were disproportionately represented. The Google rating hovered at 3.6 stars – not reflective of the quality care being delivered.
We helped implement a simple system to invite satisfied patients to share their experience, without relying on expensive third-party platforms. The rating rose to 4.8 stars in just a few months. Beyond reputation, this also provided a feedback loop for identifying areas to improve.
